Executive Assistant (m/w/d)
Your mission
As an Executive Assistant (f/m/d), you will work closely with our CEO, actively supporting them with administrative tasks and representing them in various matters. You will serve as a point of contact for communication with internal teams and maintain relationships with external stakeholders.
What you will do:
- Manage the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, and national/international travel.
- Organize and coordinate board and management meetings, including preparing agendas, presentations, and minutes.
- Handle special projects such as coordinating corporate and governance matters (e.g., M&A, commercial register changes), including communication with notaries and lawyers, managing signature processes, and document administration.
- Actively plan (internal and external) meetings and events.
- Oversee coordination of the office location in close collaboration with office management.
- Support the onboarding and offboarding process, especially for executives.
- Provide assistance to other departments or executives as needed.
Your profile
- Several years of professional experience as an Executive Assistant in an international environment.
- Proficient in MS Office, Teams, SharePoint, and collaboration tools (e.g., Confluence).
- Excellent communication skills in German and English (at least C-level), especially when interacting with executives.
- Strong organizational talent with project management skills and a structured, independent working style, even under pressure.
- Trustworthy and reliable, with a professional demeanor, a proactive hands-on mentality, and enthusiasm for new projects.
